Purpose of the Position:
- Serve as the first point of contact for the company by welcoming guests and greeting callers.
- Coordinate all front-office activities, including distributing correspondence and redirecting phone calls.
Qualifications:
- Grade 12.
- Additional certification in Office Management or a related field is advantageous.
Experience:
- Proven work experience as a receptionist, front-office representative, or similar role.
- Proficiency with Microsoft Office software is preferred.
Knowledge Required:
- Hands-on experience with office equipment (e.g., printers).
- Familiarity with phone systems and switchboard operations.
Skills Required:
- Professional attitude and appearance.
- Excellent multitasking and organizational skills.
- Ability to handle pressure effectively.
- Promptly resolve concerns.
- Good telephone etiquette and listening skills.
- Fluency in English and Afrikaans.
Key Performance Areas and Job Activities:
1. Answering and Screening Calls:
- Answer, screen, and transfer incoming calls to relevant personnel.
- Take messages.
- Provide basic and accurate information via phone/email.
- Transfer customers to the nearest retail stores.
- Update the telephone list monthly.
- Operate the company’s telecommunication system.
2. Ordering of Office Supplies:
- Order office stationery.
- Order other office commodities such as cleaning supplies and food on an ad-hoc basis.
- Order business cards for staff, including store cards for the Sales Team.
3. Welcoming Guests/Visitors:
- Greet, welcome, and direct guests appropriately and offer refreshments.
- Accept courier parcels (including mail deliveries) and ensure relevant parties receive them.
- Assist with guest Wi-Fi passwords as needed.
4. Other Responsibilities:
- Offer administrative support across all departments.
- Perform clerical duties such as filing, photocopying, transcribing, and faxing.
- Maintain a safe and clean reception area by complying with procedures, rules, and regulations.
- Ensure the reception area is tidy and presentable at all times.
- Assist the PA of the CEO as needed.
