Key Responsibilities:
- Answer all incoming calls within three rings.
- Report telephone system faults to the relevant supplier.
- Print daily reports from the telephone management system.
- Sort company mail to the correct person or department.
- Compile the company mailbag.
- Welcome and announce visitors to the appropriate person.
- Distribute messages to the correct person within the performance standard time.
- File reception documents.
- Liaise with callers in a professional, courteous, and respectful manner.
- Update extension lists and distribute them to all staff.
- Allocate and program extensions for staff.
- Handle CPT email collections and pre-alerts.
- Manage global cases and problem deliveries.
- Check on CPT collections every morning to ensure completion.
- Book cash collections.
- Escalate service failures to CRM.
- Make courtesy calls to customers for late freight updates or other client updates.
- Assist commercial staff with client follow-ups and queries.
- Assist walk-in clients and announce appointments.
- Manage Bidvest Cleaning team.
- Perform administrative duties, including cost-effective quotation requests from service providers for all departments as needed.
- Liaise with Bidvest and other service providers regarding quotations and ensure annual/quarterly services (e.g., pest control, fire systems, hygiene) are maintained.
- Assist with creating PRs on the Ariba system for the branch and certain departments.
- Control and purchase grocery and cleaning supplies.
- Ensure services rendered by service providers and appointments are booked.
Minimum Requirements:
- 2-3 years of experience as a receptionist.
- Matric (Grade 12) is the minimum requirement.
- Strong communication skills with an excellent command of the English language.
- Customer-centric personality.
- Computer proficiency.
