Exciting Job Opportunity: Administration Clerk at NHLS

The National Health Laboratory Service (NHLS) invites interested and suitably qualified candidates to apply for the position of Administration Clerk to be based in Cape Town, Western Cape.

Job Title: Administration Clerk

Key Job Responsibilities

  • Perform general administrative duties.
  • Operate the telephone switchboard, direct clients to relevant personnel, and assist with queries.
  • Handle enquiries and requests regarding report status, copies, prioritization, and corrections via phone, fax, or email.
  • Receipt and register subpoenas.
  • Prepare and obtain documentation for staff attending meetings, court cases, training, etc.
  • Oversee efficient operation of photocopiers and handle related issues.
  • Make travel and accommodation arrangements for staff.
  • Maintain records of vehicle usage, petrol cards, and submit monthly kilometers traveled.
  • Log IT calls and liaise with the IT department.
  • Prepare and distribute operational area reports to clients.
  • Manage receipt, capturing, and issuing of goods and capital items in the information management system.
  • Handle request memos, ICN numbers, and related queries.
  • Prepare and manage invoices and procurement or store-related queries for warehouse items.

Good Laboratory Practice

  • Follow SOPs and quality controls of the Laboratory.
  • Adhere to safety manual requirements and housekeeping policies.
  • Ensure the integrity and security of work done in the Laboratory.
  • Manage risk and audit queries, ensuring no documents or samples are lost.

Pre-Analytical Responsibilities

  • Receive and register food/toxicology/blood alcohol samples for analysis.
  • Issue anomaly reports and ensure safe sample handling.
  • Monitor cold room temperatures at reception.
  • Log samples at irregular times when required.

Customer Service

  • Be polite and attentive to customers.
  • Understand and meet customer needs.
  • Handle threats or rudeness from customers professionally.

Minimum Requirements & Key Competencies

  • Education: Grade 12 (NQF 4), certificate in office administration (NQF 5).
  • Experience: 1-2 years in a laboratory environment.
  • Skills:
    • Basic understanding of Windows, Microsoft Office, and LIMS.
    • Good communication and customer relations skills.
    • Time management and organizational abilities.
    • Ability to understand and follow oral and written instructions.
    • Knowledge of transport circulars, treasury instructions, and procurement.
