MICT SETA seeks a suitably qualified and competent Administrator: Learning Programmes to provide administrative support to the Learning Programmes unit. The role ensures the effective and efficient handling of the office, superior customer service, and supports the MICT SETA in executing the overall strategy. This position is based at the Midrand Head Office and reports to the Manager: Learning Programmes.
Minimum Requirements:
- Matric/Grade 12
- National Diploma (NQF 6) in Education, Human Resources Development, HRM, or equivalent
- 2 years in Administration or another relevant field
- A minimum of 1 year of experience in Skills Development
- Knowledge of applicable policies and procedures
- Familiarity with office management procedures and basic accounting principles
- Knowledge of legislations governing SETAs
- Flexibility in working hours and willingness to work overtime as needed
Roles and Responsibilities:
Information Data Administration
- Consolidate Learning Programme reporting indicators
- Audit QMR Input and validate data accuracy
- Audit data versus data captured on SETMIS Files
- Validate learner data captured on QMR
- Generate reports on information captured and submit to Line Manager weekly, monthly, and quarterly
- Sort files according to quarters for ease of retrieval during the audit process
- Check learner and learning programme registrations to ensure compliance with requirements
- Liaise with Training Providers on outstanding documentation required for registration
- Verify supporting documentation for authenticity
- Capture information on the Management Information System (MIS)
- Capture and file discretionary grant applications
- Assist Advisor with drafting approval letters and recording them on a spreadsheet
Learning Programmes Administration
- Administer disbursements of discretionary grants
- Reconcile registered and enrolled learners quarterly for comparison with QMR
- Update the Annual Commitment Register daily to track invoices/payments
- Track reported learners versus the commitment register
- Reconcile quarterly reports and the Commitment Register
- Prepare and check requisitions before submission to Administrator and Manager
- Verify the SLA’s validity and budget availability
Risk & Compliance
- Assist in identifying and adhering to fraud controls, risk prevention principles, sound governance, and compliance processes
- Support and provide evidence for all internal and external audit requirements
- Prepare samples for audit purposes for current and previous financial years
- Ensure all documentation is contained in the sample as per audit requirements
- Follow up with stakeholders on outstanding information for audit samples
- Implement audit findings within the stipulated timeframe
- Maintain quality risk management standards and enforce all related Service Level Agreements
- Review related Standard Operating Procedures to ensure business optimization
- Adhere to all relevant laws, policies, and Standard Operating Procedures
Customer Liaison and Service
- Handle general queries from DHET pertaining to SETMIS submission
- Submit confirmation of registration to Service Providers upon request
- Respond to routine queries and escalate higher-level requests as needed
- Support stakeholders in submitting relevant documents as per MICT SETA SOPs
- Promptly respond to customer requests within established parameters and time frames
