Qualifications and Experience

  • Matric
  • Diploma/Certificate in Office Administration or Secretarial Studies
  • Computer literacy
  • Unendorsed driver’s license
  • 2 years of relevant experience

Duties and Responsibilities

  • Type documentation such as agendas, reports, memorandums, letters, and minutes of meetings (Management/Health and Safety).
  • Provide secretarial and administrative support, including filing and diary management.
  • Schedule appointments and confirm dates, times, and locations.
  • Arrange flights, accommodation, and transport as needed.
  • Serve as the receptionist for the Office Manager, handling calls, faxes, emails, and welcoming visitors to maintain a professional image.
  • Organize training logistics, including transport and accommodation, obtain quotations, arrange payments, and confirm dates and times.
  • Maintain and update files related to training projects, documentation, and contracts.
  • Process orders, obtain quotations, and send for payment.
  • Liaise with clients and employees, providing necessary information.
  • Monitor budget allocations and ensure adherence to administrative and financial procedures.
  • Manage orders and payments related to infrastructure needs.
  • Update the data bank with information on completed projects.
  • Prepare and file reports on stock received and distributed.
  • Maintain office management information for the asset register.
  • Compile and send monthly reports to Emanti Management, Ninhamshand, and DWAF, and file accordingly.
  • Prepare agendas and take minutes for Health and Safety meetings.
  • Obtain and file water quality reports from Operations Managers.
  • Keep the Bluedrop System (BDS) of the DWA updated.
  • Update process controllers’ qualifications and scheme data on the Bluedrop system.
  • Type policies and Standard Working Procedures (SWPs) related to safety and water quality.
