Personnel Officer (2x Posts) REF NO: HR 5/1/2/3/78

Position Overview

The Personnel Officer will play a vital role in managing employee records and administering various HR functions. This includes overseeing leave of absence, enforcing conditions of service and employee benefits, and conducting physical verification of employees.

Key Responsibilities

Administer Leave of Absence

  • Manage and process leave applications.
  • Ensure accurate recording and tracking of leave days.
  • Address any discrepancies or issues related to employee leave.

Implement Conditions of Service and Employee Benefits

  • Administer employee benefits including medical aid and pension fund.
  • Ensure compliance with policies and procedures related to employee benefits.
  • Provide guidance and support to employees regarding their benefits.

Administer Termination of Service

  • Process termination documentation.
  • Conduct exit interviews.
  • Ensure all termination procedures are followed.

Safekeep HR Records

  • Maintain accurate and up-to-date HR records.
  • Ensure confidentiality and security of employee information.
  • Manage the filing and retrieval system for HR documents.

Conduct Physical Verification of Employees

  • Verify the presence and status of employees.
  • Update employee records based on verification results.
  • Address any discrepancies identified during verification.

Essential Requirements

Education

  • Grade 12 certificate
  • A three-year qualification in Human Resource Management (NQF level 6)
  • Certificate in introduction to PERSAL system (added advantage)

Knowledge and Skills

  • Understanding of Compensation Fund objectives and business functions
  • Knowledge of relevant policies, procedures, and processes
  • Familiarity with Stakeholders and customers (Batho Pele Principles)
  • Competence in Required IT Knowledge
  • Knowledge of COIDA Act, Public Service Act, OHS Act, PFMA, and National Treasury Regulations
  • Proficient in Business Writing Skills, Data Capturing, Data and records management, and Telephone etiquette
