Job Responsibilities

The primary purpose of this role is to ensure efficient administration of all workshop processes.

Reporting: This role reports to the Service Manager.

Job Objectives

Warranty and Maintenance Administration

  • Ensure timely submission of warranty and maintenance claims per warranty binder and maintenance procedures.
  • Maintain a zero rejection rate for claims.
  • Dispose of parts according to directives and policies.
  • Clearly mark all parts in the claim store according to relevant procedures.
  • Ensure accuracy and backup of all documentation, including job cards, photos, protocols, defect reports, and sublet invoices.
  • Cost jobs within VST parameters.
  • Load all sublet invoices on job cards and forward them to finance for payment.
  • Ensure all job cards are signed off by the Line Manager.

Opening and Processing Job Cards for Repairs, Maintenance, and Servicing

  • Ensure job card information from the workshop includes all relevant details, such as registration number, chassis number, and kilometre reading.
  • Record service type (e.g., basic, annual).
  • Note any additional faults (e.g., brake lights not working, vehicle overheating).
  • Transfer all relevant information onto the computer job card.
  • Conduct credit checks.
  • Allocate job cards to the correct account (e.g., customer, warranty, maintenance contract).
  • Ensure job cards are signed by the driver/owner or responsible person.

Outwork/Sublet Orders

  • Raise sublet orders.
  • Ensure outwork suppliers submit quotations for work to be done.
  • Raise sublet orders against the job and distribute copies appropriately.
  • Attach processed invoice and order copies to the job card.

Closing of Job Cards (Work in Progress)

  • Implement daily WIP controls and follow up regularly with workshop team leaders to ensure process flow.
  • Ensure job cards are completed with all relevant information, including date, work carried out, start and finish times, total time worked, VST, and cause of failure.
  • Obtain acceptance of work and/or parts fitted from the owner or relevant person.
  • Ensure job sign-off by the relevant Technician, Team Leader, and Service Manager before closure.

Qualifications & Job Experience

  • Matric/N3 or equivalent.
  • Computer skills.
  • Proficiency in SAP/GDS Fusion.
  • Strong administrative background.
