An Administrator is responsible for key performance areas related to the operation of a portfolio of funds. These areas are defined in the performance assessment and task list, adhering to Alexander Forbes procedures, industry standards, and Service Level Agreements. Accuracy and timeliness are critical in performing all tasks and functions.
In this service-oriented business, clear and precise communication is essential, along with building and maintaining relationships with internal and external clients. The image of Alexander Forbes must be upheld by providing prompt, polite, and efficient service.
Overview:
Education:
- Matric – Essential.
- Achieved or studying towards a retirement fund qualification or equivalent – Advantageous.
Experience:
- No postgraduate qualification required.
- Minimum 1 year of experience in retirement funds.
Technical Competencies:
- Knowledge of Compass and Alex (where applicable) systems.
- Computer literate (Outlook, Excel (intermediate), Word (basic)).
- Good oral and written communication skills.

Key Responsibilities:
Operational and Financial Success:
- Maintain expenses in line with branch standards and limits.
- Eliminate PI Claims.
Fund Administration – Role Specific:
- Process various types of claims (including bulk transfers) for Pension and Provident Funds.
- Revisit claims for various reasons.
- Request housing loan settlement values for flagged members.
- Prepare monthly reports for client meetings.
- Complete recognition of transfer documents for exits.
- Prepare information for the financial year-end of your funds (where applicable).
- Prepare claims reports for internal/external clients upon request.
- Check and act upon all risk reports (where applicable).
- Clear emails and queries daily.
- Perform other related duties and functions as required.
- Answer and make calls through a designated call center.
Embracing & Implementing TCF through Service Center:
- Keep individual knowledge up-to-date on industry trends/changes and AFAS products and services, measured by branch tests set by Management and AFFS training department.
Client Service:
- Timely and accurate client and member communication in line with company and branch procedures and controls.
- Effective and efficient service delivery through the Call Center.
- Quality and accuracy of work delivered, meeting both internal and external customer expectations without errors.
- Compliance with AFFS complaints management procedure.
Output, Success, and Engagement:
- Team contribution by assisting during absenteeism/pressure to ensure work delivery.
- Managing processes and responsibilities independently.
- Timely and accurate actioning of ad-hoc tasks assigned by Management.
- Taking on additional responsibilities and contributing positively to the team/Branch through internal procedures and processes.
