We are currently seeking a Receptionist and Admission Clerk for our facility in Erasmuskloof, Pretoria, to join our team and contribute to our mission of delivering exceptional patient care.
Key Responsibilities
As a Receptionist and Admission Clerk, you will be the first point of contact for our patients and visitors. Your responsibilities will include:
Client Service Excellence
- Upholding Client Service Principles: Ensuring that client expectations are met and exceeded.
- Managing the Hospital Switchboard: Efficiently handling incoming calls and directing them to the appropriate departments.
- Addressing Client Queries: Responding to patient and visitor inquiries effectively.
Daily Operations
- Opening Duties: Opening the hospital each morning between 5:30 AM and 5:45 AM.
- Patient and Visitor Reception: Welcoming clients, patients, and visitors warmly.
- Patient Communication: Contacting patients to provide information about admission times and necessary documentation.
- Pre-Admission Processing: Accurately capturing patient pre-admissions.
Patient Management
- Admission and Discharge Procedures: Ensuring the correct admission and discharge processes are followed.
- Payment Management: Handling payments received at the reception.
- Medical Authorization Assistance: Assisting patients with obtaining medical authorizations or quotations when needed.
- Billing and File Finalization: Managing patient billing and finalizing patient files.
Interdepartmental Collaboration
- Communication: Liaising with the theatre unit manager, ward registered nurse, and relevant doctors’ offices regarding patient cancellations or additions.
- File Management: Filing patient records and arranging the transfer of files to Head Office as necessary.
- Equipment Maintenance: Maintaining photocopy machines, label printers, and reception computers.
Administrative Duties
- Monthly Banking: Performing monthly banking tasks.
- Additional Tasks: Completing other administrative duties as requested by the manager.
Qualifications and Requirements
To be considered for this position, candidates must meet the following criteria:
- Educational Background: A Grade 12 certificate and a relevant qualification.
- Experience: 1-3 years of experience in a healthcare environment.
- Technical Skills: Basic knowledge of Microsoft Office Suite, including Excel and Word.
- Work Schedule Flexibility: Willingness to work shifts as required by the facility.
- Customer-Centered Mindset: Acknowledgment of the importance of customer service.
- Patient Administration Knowledge: Solid understanding and application of patient administration systems, policies, and procedures.
- Stress Management: Ability to work effectively under pressure.
- Interpersonal Skills: Good interpersonal skills and the ability to interact with people.
- Organizational Skills: Ability to plan and organize tasks to ensure efficiency.
