Role Overview
The Client Liaison Administrator is responsible for delivering high-quality administrative support to enhance communication and collaboration between regional offices and stakeholders. Additionally, this role plays a vital part in facilitating training and development initiatives aimed at promoting skills growth across merSETA’s regions.
Key Responsibilities
- Efficient Record Management: Maintain accurate and accessible records to ensure seamless information sharing and compliance with organizational standards.
- Stakeholder Interaction: Address and resolve stakeholder queries promptly and professionally.
- Learner Registrations: Accurately complete and manage learner registrations while ensuring all protocols are followed.
- Tranche Payments: Assist in the preparation of Tranche Payments (T2, T3, T4) in a timely manner, ensuring proper documentation and accessibility.
- Secretarial Duties: Provide secretarial support to regional administrators, including managing trade test bookings and coordinating office tasks.
- Apprenticeship Management: Oversee apprenticeship processes, including transfers, suspensions, and recissions, in accordance with merSETA’s Quality Management System (QMS).
- Stakeholder Guidance: Offer guidance to levy-paying members regarding the application process for mandatory and discretionary grants.
- Project Support: Assist in the implementation of merSETA projects and provide regional support for various skills development initiatives.
- Database Maintenance: Ensure the database is up-to-date with accurate information.
- Report Generation: Produce reports as required to help the office achieve its targets.
- Performance Monitoring: Track and measure individual and office performance, ensuring alignment with set targets.
- Knowledge Sharing: Keep stakeholders updated on developments related to skills initiatives within the region.
Qualifications and Skills
- Educational Qualification: Diploma or equivalent NQF 6 qualification in Business Administration, Office Administration, Commerce, Project Management, Training, or a related field.
- Experience: A minimum of 1 year of experience in administration and customer relations, preferably within merSETA.
- Skills:
- Strong customer service orientation
- Attention to detail
- Proficiency in MS Word, Excel, Outlook, and databases
- Excellent communication and collaboration abilities
- Knowledge of Skills Development Legislation
