Job Context

We are seeking a motivated Office Administrator to join our Landscaping Business Unit at our Durban office. This role reports directly to the Operations Executive.


Minimum Requirements

  • Education:
    • Grade 12 (Matric)
    • Certificate/Diploma in Administration (NQF Level 5) or equivalent
    • An accounting qualification would be advantageous
  • Experience:
    • 3 years of experience in Human Resources administration
    • 5-10 years of work experience in a similar role and environment
  • Skills:
    • Proficiency in Word, Excel, PowerPoint, Advanced Excel, and Sage/Pastel
    • Excellent written and verbal communication skills
    • Strong administrative skills with great attention to detail

Key Responsibilities

  • Billing & Record Keeping:
    • Consolidating MIs to prevent duplicates
    • Writing maintenance orders for new clients, increases, and cancellations
    • Generating and distributing increase letters
    • Billing and record-keeping for both maintenance and construction increases
  • Financial Support:
    • Assist management with financial statements using Accpac
    • Ensure all revenue is billed on time and accurately
    • Generate reports for billing, increases, claims, and payments
  • Administrative Support:
    • Assist managers with financial admin and ensure contract executive income statements are accurate
    • Upload time sheets, handle wage input registers, and ensure employment contracts are signed
    • Organise training sessions and ensure documentation is submitted before deadlines
  • HR & Payroll Support:
    • Assist with employee engagements, including contracts of appointment and HR checklist documentation
    • Submit MIE fingerprints for new employees and handle pay queries
    • Ensure death claims, pension fund, and resignation claims are processed
