Position: Executive Assistant

Role Purpose

Bathu Group is seeking a dedicated Executive Assistant to provide high-level executive and administrative support to the Managing Director and Group CEO. This role involves:

  • Efficient management of internal and external stakeholders
  • Expert planning and organization of meetings and appointments
  • Handling confidential documents
  • Coordinating executive events

Maintaining confidentiality and strict adherence to company policies are essential.


Key Responsibilities

  • Confidential Management:
    • Handle highly confidential matters with absolute discretion, especially those affecting global operations.
  • Calendar Management:
    • Organize and maintain daily calendars for meetings and events to optimize scheduling and time management.
  • Document Preparation:
    • Prepare a wide range of documents, including presentations, reports, and correspondence, using Microsoft Word, Excel, PowerPoint, and Keynote.
  • Communication Support:
    • Assist in drafting and editing communications for external stakeholders, including memos, emails, reports, and presentations.
    • Draft articles and other communications on behalf of C-suite executives.
  • Meeting Coordination:
    • Record and maintain accurate minutes of meetings.
  • Strategic Collaboration:
    • Collaborate with the Strategic Initiatives team to support C-suite activities.
  • Travel and Expense Management:
    • Arrange executive travel and accommodations.
    • Oversee expense reporting.
  • Call and Message Screening:
    • Screen incoming calls and messages, responding or directing inquiries as appropriate.
  • Time Management:
    • Display excellent communication and time-management skills, consistently meeting deadlines.
  • Adaptability:
    • Thrive in a fast-paced environment and take on additional duties as assigned by executives.
  • Internal and External Communications:
    • Draft internal announcements, board materials, and communications for external partners.
  • Contact Management:
    • Manage the Executive’s contacts and assist with presentations and research projects.
  • Responsive Communication:
    • Respond promptly to emails, texts, and calls, including those received outside regular business hours.

Qualifications and Skills

  • Proven experience as an executive assistant or in a similar role
  • Excellent organizational and time-management skills
  • Strong written and verbal communication abilities
  • Proficiency in Microsoft Office Suite and Keynote
  • Ability to handle sensitive information with confidentiality
